Please use the form below to book a stall / advert / sponsorship package.

Vegan Policy

All products and information available at the show must be 100% vegan – no animal products are permitted, and there must be no promotion of the use of animals in any marketing material used before or at the show.

VAT

All prices are subject to VAT at 20% (including charities).

Paperwork

Please ensure you are fully insured and in possession of all your legal documents before booking. You will need to forward proof of insurance and health and safety certificates on booking – see paperwork page for full set of paperwork required.

Payment Terms and Conditions

All online bookings are legally binding – all bookings made before the end of June 2019 must be paid for in full by the end of June 2019, and all bookings made from July 1st 2019 onwards must be paid for by return in full.

Cancellation fees apply – please read our Terms and Conditions first. Please do not book until you are sure you wish to exhibit at this event. Once you have filled in and submitted this online booking form, you are subject to cancellation fees should you wish to cancel.

To book a stall (or advert/sponsorship), please fill in and submit our online booking form. In the case for stalls, please enter your stall choice preference (first 2 choices) in the space provided. We will do our best to allocate you your first choice but this may not be possible. Please note that if you complete and submit the booking form, this is a legally binding agreement. Please read our Terms and Conditions before submitting your booking, especially our cancellation policies and interests for late payments.

Once we receive your booking form, you are required to pay your deposit of £240 for traders (including VAT) / £120 for charities (including VAT). We will reserve your stall for 7 working days to allow you time to forward your deposit. Once received, we will add your name to the on the floor plan page and issue you an invoice for the full amount.

If we do not receive your deposit within 7 days of your booking, your stall will no longer be reserved. Please note: cancellation fees will still apply if you do not pay your deposit and you wish to cancel. Please note: deposits are non-refundable in any circumstances.

Deadline for submitting artwork (for inclusion in event programme)

The final deadline for submitting artwork / text / images for inclusion in the event programme is Friday September 13th 2019. If you have booked paid advertising to be included in the event programme, please ensure that you submit any requisite materials by this deadline. The organisers reserve the right to exclude any artwork / text / images submitted after this date.

NOTES:

  1. Any stallholder who wishes to do any form of cooking must be located in Olympia West Level 1.
  2. Any stallholder who wishes to book power must be located in the stalls highlighted in yellow on the floor plan.
  3. There are no 1-day options available on Level 1. Exhibitors wishing to exhibit for 1 day only should choose a stall on either Level 2 or Level 3.
  4. Caterers/bars must set up on Friday October 25th 2019 (preferably as early as possible), to allow time for their electrical equipment to be tested before the show opens.
