All exhibitors are required to complete and submit a set of paperwork before the event. These can be submitted using our Paperwork form below.

Insurance (including public liability up to £5M, and employers liability if applicable; must be up to date and cover the date of the event)plus other documents in the following sections that are relevant to your operation at the event

 

Please ensure all paperwork is uploaded in one session. If you need to send renewed insurance at a later date before the show this can be done by email to [email protected]

Hot Food Caterers

Concession fees from the venue are applied to the service of hot drinks. No hot drinks should be served at the event at all, unless arranged directly with VegfestUK beforehand. 

All products at the event must be vegan / 100% plant-based.

 

Those who are doing hot food catering / running a food operation must be registered with their local councils – businesses who are not registered with their local councils are not allowed to do hot food catering / run a food operation.

 

Caterers / those running food operations should complete and return the following paperwork:

 

1. Form finalising all food menus and electrical equipment

3. Food Hygiene Certificate

4. Certificate of registration with their local Council

5. HACCP

6. Certificate of food safety training

7. Layout of stand

8. Equipment to be used and ratings

9. Details of hand wash facilities

Food allergens

 

All exhibitors doing food/drinks sampling must adhere to the current legislation on food allergens outlined on this page here.

 

Alcohol sampling

 

Any exhibitors doing alcohol sampling must have prior agreement with the organisers before being allowed to do so at the event.

 

They must also submit the following in addition to the paperwork above:

 

1. Alcohol License (must be up to date and cover the date of the event)

2. Alcohol License Consent Form
